The Role

The Administrative Assistant will provide wide-ranging, professional, and confidential administrative support to the Strategic Projects team. This role is essential in ensuring the smooth running of day-to-day operations and supporting the delivery of key service objectives.

Key Responsibilities:

  • Provide general secretarial and administrative support to senior staff, including diary management, meeting scheduling, and handling routine correspondence.

  • Screen telephone calls and emails, responding to routine internal requests and preparing outgoing communications.

  • Deliver a full range of administrative services such as word processing, maintaining spreadsheets and databases, preparing presentations, photocopying, scanning, and managing filing systems.

  • Develop and maintain effective office systems for information flow and storage, both electronic and hard copy, in line with audit requirements.

  • Collate and produce management information, departmental reports, and documentation.

  • Attend meetings to take notes, prepare and agree minutes, track attendance, and follow up on actions.

  • Coordinate courses, seminars, and events, including booking venues, arranging travel, catering, equipment, and managing delegate registration.

  • Support financial processes including raising purchase orders, invoice coding, setting up financial codes, and ensuring timely payments.

  • Handle enquiries from the public and stakeholders, including complaints, in line with policy.

  • Assist in the creation and distribution of publications, promotional materials, online content, and awareness events; liaise with Procurement on marketing materials and maintain stock control.

  • Provide support with departmental marketing and promotional campaigns.

  • Provide cover for colleagues where required to meet service deadlines or support department needs.

  • Adhere to all policies, health and safety requirements, risk management procedures, and quality standards.

  • Contribute to performance improvement, business planning, and the achievement of departmental and personal targets.

The Person

Essential Criteria:

  • Strong administrative or secretarial experience within a busy office environment.

  • Excellent organisational skills with the ability to manage multiple tasks and meet deadlines.

  • Proficiency in MS Office applications including Word, Excel, PowerPoint, and Outlook.

  • Experience of developing and maintaining filing and office systems.

  • Ability to work independently and collaboratively as part of a team.

  • Strong interpersonal skills with the ability to deal professionally with staff, stakeholders, and members of the public.

Desirable Criteria:

  • Experience working within a local authority or public sector environment.

  • Familiarity with financial processes such as purchase orders and invoice processing.

  • Experience taking minutes and preparing meeting documentation.

  • Experience supporting marketing, promotional, or communications activities.

  • Knowledge of records management, GDPR, or similar regulatory frameworks.
