The Company

Our client is an organisation working in support of the education sector across Northern Ireland. They provide administrative, operational, and professional support services to ensure the effective delivery of education-related programmes and initiatives.

The Role

The Administrative Assistant will provide essential administrative support to ensure the efficient day-to-day operation of the team. This role is well suited to someone who is highly organised, detail-oriented, and comfortable working with both physical and digital records.

Key Responsibilities

  • Prepare and process outgoing and internal mail and packages

  • File, organise, and maintain both physical and digital documents

  • Scan and upload documents to shared drives and electronic filing systems

  • Maintain accurate records and ensure documents are stored correctly

  • Create and update spreadsheets or databases as required

  • Assist with data entry and maintain accurate information across systems

  • Support verification and checking procedures to ensure data accuracy

  • Draft and send routine emails and correspondence

  • Assist with responding to basic queries and forwarding requests to the appropriate team members

  • Provide administrative support to colleagues as required

  • Assist with maintaining organised digital and physical filing systems

  • Contribute to the smooth running of the office environment

  • Undertake other duties consistent with the role as required

The Person

Essential Criteria

  • Previous experience in an administrative or office-based role

  • Strong attention to detail and high levels of accuracy

  • Good organisational and time management skills

  • Ability to work independently and as part of a team

  • Strong written and verbal communication skills

  • Proficiency in Microsoft Office, particularly Word and Excel

  • Comfortable working with digital filing systems and databases
