Honeycomb are delighted to be working with the Northern Health and Social Care Trust to recruit for a Band 3 Personal Secretary. This is a temporary role for 2 months initially and an immediate start.
Location: Whiteabbey Hospital
Organisation: Northern Health and Social Care Trust (NHSCT)
Hours: Monday to Friday, 9:00am - 5:00pm (37.5 hours)
Contract: Temporary, Full-Time
Salary: Band 3 £12.75 per hour
About the Role
This is an exciting opportunity to join the Northern Health and Social Care Trust as a Personal Secretary within the Whiteabbey Hospital. This role is a 2-month temporary position and requires a candidate available for an immediate start.
The successful candidate will play a key role within a busy service, supporting the day-to-day running of the office and contributing to the delivery of a high-quality, professional and compassionate service. The successful candidate will work closely with colleagues across Health and Social Care.
Key Responsibilities
- Provide full secretarial support to the Team Leader, including diary and appointment management
- Deliver high-quality administrative and clerical support across the department
- Type reports, correspondence, minutes and other documentation to a high standard from notes, audio or digital dictation
- Organise, service and minute meetings, ensuring papers are prepared and distributed on time
- Act as a first point of contact for internal and external enquiries, including liaising with senior managers, professionals and external agencies
- Manage departmental mail, email inboxes and telephone enquiries, ensuring effective follow-up systems are in place
- Maintain accurate and confidential records and filing systems (manual and electronic) in line with Information Governance requirements
- Input, retrieve and extract data from computerised systems and spreadsheets
- Develop and maintain spreadsheets and databases using Microsoft Office, particularly Excel
- Support complaint processes, including organising meetings and collating responses on behalf of management
- Handle petty cash and basic financial administration where required
Essential Criteria
Qualifications & Experience
Option 1:
- 4 GCSEs (A-C)* including English (or equivalent), plus
- 1 year's paid clerical experience in an office environment using Microsoft Office
- 1 year's minute-taking experience (where applicable)
OR
- GCSE English (A-C)* (or equivalent), plus
- 2 years' paid clerical experience in an office environment using Microsoft Office
- 1 year's minute-taking experience (where applicable)
In addition, applicants must have either:
- RSA/OCR Stage II Typing/Word Processing (both parts), or
- At least 1 year's experience using ICT, including word processing, spreadsheets and email
Skills & Abilities
- Effective communication skills
- Ability to work as part of a team and with senior staff
- Ability to use initiative and work independently
- Ability to work under pressure and meet deadlines
- Strong IT skills
Experience must include:
- Microsoft Office (Word, Excel, Outlook)
- Electronic and manual diary management
- Organising and servicing meetings
- Collating and presenting data using Excel
- Data input and extraction
