The Person

Are you a highly organised, motivated, and approachable individual who enjoys working in a busy administrative environment?
We're looking for an enthusiastic General Secretary to join our Community Mental Health Team (CMHT) - a vital part of our service providing compassionate, efficient support to our clinicians and patients. This is a great opportunity to become part of a dynamic, friendly team where your administrative and communication skills will directly contribute to improving the quality and efficiency of patient care.

The Role

As a key member of the CMHT administrative team, you'll:

  • Handle telephone calls and correspondence, documenting all relevant information on Encompass.
  • Process incoming mail and support information gathering for ongoing audits.
  • Type, format, and send professional correspondence and clinical letters via Encompass.
  • Manage clinic bookings, cancellations, and outcomes to ensure smooth service delivery.
  • Maintain and update consultant and team caseloads using digital systems.
  • Produce and share weekly/monthly statistics and reports using DAR and other administrative tools.
  • Co-ordinate meetings, take minutes, and manage consultant/team diaries.
  • Support the team with stock control through eProcurement.
  • Provide reception cover and general admin support during staff absences.
  • Manage room and clinic bookings and assist with ad-hoc duties such as data cleansing, arranging interpreters, and booking patient transport.

Essential Criteria

  • 4 GCSE's Grades A-C to include English Language (or equivalent Qualification) plus one year's secretarial/admin/clerical experience.

OR

  • NVQ Level 2 in Administration (or equivalent qualification) plus one year's secretarial/admin/clerical experience.

OR

  • 2 Year's secretarial/admin/clerical experience .RSA/OCR Stage II Text Processing Part I and Part II (or equivalent/ above qualification).

OR

  • 12 months word processing experience, to include typing and formatting of reports and letters.
  • Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK.
  • Strong IT and organisational skills, with confidence using systems such as:
    Encompass, Maxims, PAS (Ards only), ECR, MH Admin SharePoint, CCG, eProcurement, MedSpeech, and Teams.
  • Excellent communication skills, both written and verbal.
  • A flexible and proactive approach with the ability to multitask and prioritise effectively.
  • Previous administrative or secretarial experience in a healthcare setting (desirable but not essential).
