The Role

This role goes beyond a traditional PA position, offering exposure to leadership, coordination, and people management responsibilities. You will provide high-level PA support across multiple practice areas, while also playing a key role in overseeing workflow, supporting teams, and contributing to the smooth running of the wider support function. This is an ideal opportunity for an experienced Legal PA who is ready to take the next step toward management.

The main duties of the role include:

  • Deliver first-class PA support to senior fee earners across a range of practice areas, including complex diary management, travel arrangements, and meeting coordination.

  • Draft and prepare professional correspondence, reports, and client materials, ensuring accuracy and consistency with the firm's house style.

  • Manage billing and expenses end-to-end, ensuring deadlines are met and processes run smoothly.

  • Act as a central point of contact between legal teams and support services, ensuring clear communication, aligned priorities, and seamless service delivery.

  • Oversee and coordinate the FlexHub and Word Processing teams, maintaining service standards and balancing workloads effectively.

  • Track team capacity, allocate work appropriately, and provide regular updates on workflow and performance to senior management.

  • Coach and support team members, encouraging development, engagement, and a culture of continuous improvement.

  • Identify opportunities to improve processes, introduce efficiencies, and enhance the overall effectiveness of the support function.

  • Assist with business development initiatives, including preparation of meeting materials, client research, and CRM updates.

  • Provide flexible cover during busy periods and absences, ensuring uninterrupted support across the firm.

Essential criteria

  • A minimum of 5 years' experience as a Legal PA/Secretary, ideally supporting multiple practice areas OR previous experience in a Legal Team lead position

  • Demonstrated experience in workflow coordination and people or team management.

  • Advanced proficiency in MS Word, Outlook, Excel, and PowerPoint.

  • Hands-on experience with document management systems, billing platforms, and digital dictation tools.

  • Exceptional organisational skills with the ability to prioritise and manage competing demands.

  • Strong communication and interpersonal skills, with a proactive and collaborative working style.

  • High levels of discretion and professionalism when handling confidential information.
