The Company

We are recruiting a temporary Personal Assistant on behalf of a fantastic charity based in Belfast. This role is a temporary position until the end of January with the possibility of a permanent opportunity for the right person.

The Role

The Personal Assistant will provide high-level administrative, organisational, and executive support to a senior leader within the business. This is a fast-paced and varied role requiring exceptional attention to detail, strong communication skills, and the ability to anticipate needs before they arise.

Key Responsibilities Include:

  • Managing the executive's calendar by scheduling meetings, appointments, and travel
  • Overseeing inbox and communication channels, prioritising emails and drafting responses
  • Creating and maintaining secure digital and physical filing systems
  • Organising meetings and events, including invitations, venue booking, catering, and preparing meeting packs in advance
  • Drafting correspondence, reports, presentations, and briefing notes
  • Acting as a liaison between the executive, internal teams, clients, and external partners
  • Tracking deadlines, project progress, and action items, providing regular updates
  • Managing expense reports, invoices, and budgeting documents
  • Conducting research and preparing summaries or briefing documents
  • Anticipating needs, identifying scheduling issues, and providing proactive administrative support
  • Handling sensitive information with the utmost confidentiality and discretion

Essential Criteria:

  • Proven experience in a Personal Assistant or Executive Assistant role
  • Exceptional organisational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Strong proficiency in Microsoft Office Suite and digital productivity tools
  • Ability to remain calm under pressure and work to tight deadlines
  • Proactive, resourceful, and solutions-focused mindset
  • Strong attention to detail and ability to anticipate needs
