The Company
We are recruiting a temporary Personal Assistant on behalf of a fantastic charity based in Belfast. This role is a temporary position until the end of January with the possibility of a permanent opportunity for the right person.
The Role
The Personal Assistant will provide high-level administrative, organisational, and executive support to a senior leader within the business. This is a fast-paced and varied role requiring exceptional attention to detail, strong communication skills, and the ability to anticipate needs before they arise.
Key Responsibilities Include:
- Managing the executive's calendar by scheduling meetings, appointments, and travel
- Overseeing inbox and communication channels, prioritising emails and drafting responses
- Creating and maintaining secure digital and physical filing systems
- Organising meetings and events, including invitations, venue booking, catering, and preparing meeting packs in advance
- Drafting correspondence, reports, presentations, and briefing notes
- Acting as a liaison between the executive, internal teams, clients, and external partners
- Tracking deadlines, project progress, and action items, providing regular updates
- Managing expense reports, invoices, and budgeting documents
- Conducting research and preparing summaries or briefing documents
- Anticipating needs, identifying scheduling issues, and providing proactive administrative support
- Handling sensitive information with the utmost confidentiality and discretion
Essential Criteria:
- Proven experience in a Personal Assistant or Executive Assistant role
- Exceptional organisational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High level of discretion and professionalism when handling confidential information
- Strong proficiency in Microsoft Office Suite and digital productivity tools
- Ability to remain calm under pressure and work to tight deadlines
- Proactive, resourceful, and solutions-focused mindset
- Strong attention to detail and ability to anticipate needs
