The Business Services Organisation (BSO) is seeking an enthusiastic and experienced Band 4 Personal Assistant to provide high-quality administrative and PA support to the Director and Assistant Director.

This is a varied and rewarding role for someone who enjoys working in a busy environment, managing competing priorities, and supporting senior colleagues to deliver an effective service.

Alongside providing high-quality PA and administrative support, the successful candidate will have the opportunity to contribute to projects and service improvement initiatives, providing administrative and organisational assistance to help ensure projects are delivered effectively.

The Role

As Personal Assistant to the Director and Assistant Director, you will provide a comprehensive, efficient, and confidential administrative support service.

You will be responsible for managing diaries, correspondence, meetings, and documentation, while ensuring that actions and deadlines are effectively monitored.

The role will also involve providing project assistance, supporting the coordination and administration of projects, maintaining project documentation, tracking actions, and assisting with the preparation of reports and updates.

The successful candidate will be highly organised, adaptable, and confident in dealing with colleagues and stakeholders at all levels.

Key Responsibilities

Personal Assistant & Administrative Support

  • Provide comprehensive PA and administrative support to the Director and Assistant Director.
  • Manage and coordinate diaries, appointments, and meetings.
  • Organise meetings, prepare agendas and supporting documentation.
  • Draft and format correspondence, reports, presentations, and other documentation.
  • Manage emails and correspondence, ensuring actions are appropriately followed up.
  • Monitor deadlines and maintain effective systems for tracking outstanding actions.
  • Consult professionally with internal and external stakeholders.
  • Manage confidential and sensitive information with discretion.
  • Maintain accurate electronic and paper-based records.
  • Provide general administrative support to the wider team as required.

Project Support

  • Provide administrative assistance to projects led by or involving the Director and Assistant Director.
  • Assist with coordinating project meetings, actions, and deadlines.
  • Maintain project documentation, records, and action logs.
  • Assist with the preparation of project reports, presentations, and briefing documents.
  • Collate information and data from relevant sources to support project activity.
  • Monitor project actions and provide updates to the Director and Assistant Director.
  • Support the organisation and coordination of project-related activities and events.
  • Assist with general project administration and service improvement initiatives as required.

Essential Criteria

Applicants must be able to demonstrate:

Qualifications

  • 5 GCSEs (or equivalent), including GCSE English Language and GCSE Mathematics.

Experience

  • At least 18 months' experience working in an administrative role.

IT Skills

  • Full competency in the use of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
