The Role

An exciting opportunity has arisen for an Admin Officer to provide high-quality administrative support to a busy policy team. Working 18.5 hours per week, you will play a key role in ensuring the smooth day-to-day running of the directorate through a combination of administration, research, meeting coordination and information management.

This is an ideal opportunity for an organised administrator with excellent attention to detail, strong communication skills and an interest in policy, research or the public sector.

Key Responsibilities

  • Organise internal and external meetings, including booking venues, arranging refreshments and preparing meeting documentation.

  • Raise purchase orders and maintain accurate administrative records.

  • Manage and maintain electronic filing systems and shared documents.

  • Respond to ad hoc queries from colleagues and external stakeholders.

  • Undertake media monitoring and political monitoring activities.

  • Research information to support policy projects and publications.

  • Collect, collate and maintain data for publication within online resources.

  • Assist in the preparation of presentations, reports and briefing documents.

  • Attend meetings and take accurate minutes and meeting notes.

  • Draft and circulate meeting minutes and action points.

  • Proofread reports, newsletters, publications and other organisational documents.

  • Assist with preparing written content for newsletters and internal communications.

  • Build positive working relationships with internal teams and external stakeholders.

  • Support the delivery of policy and research activities through effective administration and communication.

  • Contribute to the efficient delivery of directorate objectives and wider organisational priorities.

The Person

Essential Criteria

  • Previous experience in an administrative role within a professional office environment.

  • Experience using Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.

  • Experience arranging meetings, taking minutes and providing administrative support.

  • Experience maintaining accurate electronic and manual filing systems and databases.

  • Strong proofreading skills with excellent attention to detail.

  • Experience preparing reports, presentations, briefing papers or other written documents.

  • Excellent written and verbal communication skills.

  • Strong organisational skills with the ability to manage competing priorities in a busy environment.
