Do you enjoy working in a busy environment where every day can bring something different?

We are looking for a reliable and motivated Band 3 Homecare Office Administrator to join our Trust Homecare Team in Craigavon.

This is an important role within the Homecare Office, providing the administrative support that helps our service run effectively and ensures our Homecare Assistants are scheduled to meet the needs of our clients.

About the role

As a Homecare Office Administrator, you will provide efficient and effective administrative support to the Trust Homecare Team.

You will maintain and update manual and electronic records, helping to support the rostering and payment of Homecare Assistants. You will also communicate regularly with staff by telephone and electronically to assist with scheduling work and responding to changes.

An important part of your role will be keeping clients and carers informed about changes to rotas and responding appropriately to queries.

This is a role where being organised, accurate and a good communicator really matters.

What will you be doing?

You will:

  • Provide day-to-day administrative support to the Trust Homecare Team.
  • Maintain accurate and up-to-date manual and electronic records.
  • Assist with the preparation and updating of Homecare Assistant rosters.
  • Contact Homecare Assistants by telephone and electronic methods to schedule work.
  • Assist with arranging cover when staffing arrangements change.
  • Communicate with clients and carers regarding changes to rotas and appropriate queries.
  • Ensure information is recorded accurately to support the payment of Homecare Assistants.

  • Deal with telephone and electronic enquiries in a professional and helpful manner.
  • Collaborate closely with colleagues to support the smooth running of the Homecare service.
  • Prioritise your workload and respond effectively to changing demands.

What are we looking for?

We are looking for someone who is:

Organised - able to keep accurate records and manage a busy workload.

A good communicator - confident speaking with Homecare Assistants, clients, carers, and colleagues.

Reliable and dependable - understands the importance of accurate information and timely communication.

Adaptable - able to respond positively when rotas change or unexpected staffing issues arise.

A team player - willing to support colleagues and contribute to a positive office environment.

People-focused - understands that the administrative work you do directly supports the delivery of care to clients in their own homes.

Essential Criteria

Applicants must meet the following requirements:

IT Skills
Experience in the use of Microsoft Office products, including Word and Excel, or equivalent.

Availability
Available to work between 7.00am and 5.00pm on a rota basis.

Driving Requirement
Hold a full current driving licence and have access to a car for work purposes.

Qualifications and Experience

Either:

  • 4 GCSEs at Grades A-C, including English Language and Maths, or equivalent/higher qualification AND 1 years' experience in a clerical/administrative role.

OR

  • 2 years' experience in a clerical/administrative role.

Why join our Homecare Team?

This is not simply an administrative job.

The work you do will help ensure that Homecare Assistants are where they need to be, clients are kept informed and the service continues to operate effectively.

If you are someone who enjoys being organised, helping others, and working as part of a busy team, this could be the opportunity you have been looking for.

To apply in confidence, please submit your CV using the application link provided or contact Geraldine Stevenson for further information.

If you require any reasonable adjustments or additional support throughout the recruitment process, please let us know and we will make the appropriate arrangements.

Please note: Successful applicants may be required to complete a Basic or Enhanced Access NI check (fee of £18+). A previous conviction will not automatically prevent an appointment, and any disclosures will be managed confidentially.
