This is a fantastic opportunity for an organised and motivated administrator to join a busy Mental Health Services team, providing essential secretarial and administrative support to healthcare professionals. The successful candidates will play an important role in ensuring the smooth running of daily services, maintaining accurate records and delivering a professional, responsive service to staff, service users and external organisations.

Key Responsibilities

  • Providing secretarial and administrative support to Mental Health Services teams.
  • Preparing correspondence, reports and other documents, including audio typing where required.
  • Handling telephone calls, enquiries and correspondence professionally.
  • Maintaining accurate electronic and paper records in line with Trust policies.
  • Managing appointments, consultant caseloads and diary schedules.

  • Maintaining filing systems, archiving records and managing office supplies.
  • Liaising with staff, service users, carers and external agencies.
  • Prioritising workloads, meeting deadlines and providing cover for colleagues.
  • Adhering to Trust policies on confidentiality, data protection and information security.

The role requires someone who can work effectively as part of a team while also using their own initiative. Strong organisational skills, accuracy and a professional approach are essential when supporting services that work directly with individuals accessing mental health care.

Essential Criteria

Applicants must meet one of the following qualification and experience requirements:

Option 1:

  • Four GCSEs at grades A-C, including English Language, or equivalent qualifications.
  • At least one year's experience in a secretarial, administrative or clerical role.

OR

Option 2:

  • NVQ Level 2 in Administration, or an equivalent qualification.
  • At least one year's experience in a secretarial, administrative or clerical role.

OR

Option 3:

  • At least two years' experience in a secretarial, administrative or clerical role.

In addition, applicants must demonstrate:

  • RSA/OCR Stage II Text Processing Parts I and II, or an equivalent or higher qualification; or 12 months' word processing experience, including typing and formatting reports and letters.
  • Experience using Microsoft Office applications, specifically Word, Excel and Outlook.
  • A current full UK-valid driving licence and access to a car upon appointment, unless the Trust's stated disability-related exemption applies.

Essential Skills and Knowledge

Candidates will also need to demonstrate the following at interview or assessment:

  • The ability to work collaboratively as part of a team.
  • Initiative and the confidence to work independently when appropriate.
  • Excellent organisational skills, including the ability to prioritise competing demands.
  • Effective verbal and written communication skills.
  • The ability to adapt to a busy, challenging and changing working environment.
  • A high level of accuracy and attention to detail.
  • The ability to use administrative systems, including diary management and filing procedures.
  • An understanding of the Data Protection Act and the importance of maintaining confidentiality.

Desirable Criteria

The following experience may be advantageous during shortlisting:

  • Experience working with computerised databases.
  • Experience using office administration systems, including diary management and filing systems.

Please note: Applicants should clearly demonstrate how they meet the essential criteria within their application form. Enhanced AccessNI checks and a health assessment may be required as part of the recruitment process.

We would, however, like to thank everyone who expresses an interest in this opportunity.
