Honeycomb is delighted to be working with a well-established third sector organisation to recruit an Executive Assistant. This role will be based in Belfast and is a fantastic opportunity to join a values-led organisation.

The Role

As an Executive Assistant, you will provide high-level administrative and personal assistant support to the Director, including managing priorities, communications, diaries, meetings and events, ensuring strategic objectives are achieved efficiently.

Key Responsibilities

  • Provide high-level administrative and PA support to the Director, helping them manage their workload and priorities effectively.

  • Support the planning and delivery of projects, including tracking key tasks, deadlines, budgets and deliverables.

  • Act as the main point of contact for the Director, managing calls, emails and queries and ensuring urgent matters are dealt with promptly.

  • Manage correspondence on behalf of the Director, drafting emails, letters and other communications.

  • Prepare and coordinate reports, presentations, documents and research, ensuring information is accurate and presented to a high standard.

  • Organise internal and external meetings, including managing diaries, preparing agendas and papers, taking minutes and following up on actions.

  • Liaise with colleagues, external organisations and other stakeholders on behalf of the Director to ensure effective communication and timely responses.

  • Manage the Director's diary, appointments and travel arrangements, anticipating their needs and ensuring priorities are managed effectively.

  • Handle confidential and sensitive information appropriately and in line with organisational policies.

The Person

The successful candidate will be able to demonstrate experience working as an Executive Assistant, with previous experience supporting staff at Director level.

Essential Criteria

Candidates must meet one of the following:

  • GCSEs, including English Language and Maths (Grade C or above); OR

  • 2 years' experience in an Executive Assistant role, along with equivalent qualifications to the above; OR

  • 3 years' experience in an Executive Assistant role.

In addition, candidates must have:

  • Previous experience of diary management at senior management level.

  • Strong IT skills, including proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook.
