Our client is a well-established, community-focused organisation with a strong local presence and a commitment to supporting its community.
They are looking for an organised, reliable and personable Office and Finance Administrator to provide confidential administrative, financial and operational support across three local parish offices.
This is a varied, hands-on role which would suit someone who enjoys being the central point of contact, is comfortable working independently and has previous bookkeeping or finance experience.
The Role
As Parish Support Officer, you will provide day-to-day administrative, financial and operational support, working closely with senior parish leadership and assisting parishioners, visitors, committees and external contacts.
A key part of the role will be managing parish finance and bookkeeping, so previous finance or bookkeeping experience is essential.
Key responsibilities will include:

Providing confidential administrative and secretarial support to the Parish Priest.

Acting as a friendly and professional first point of contact for parishioners and visitors.

Maintaining baptism, confirmation, marriage and funeral registers and issuing certificates.

Supporting the administration of baptisms, weddings and funerals.

Preparing weekly bulletins, newsletters, flyers, posters, booklets and PowerPoint presentations.

Maintaining parish websites, social media platforms and mailing lists.

Maintaining accurate databases, filing systems, records and archives in line with GDPR.

Managing parish calendars, rotas and general office systems.
-
Providing administrative support for parish committees, including agendas, action points, reminders and follow-ups.

Supporting parish events and programmes.

Liaising with contractors regarding maintenance, repairs and servicing where required.

Researching relevant funding opportunities and assisting with grant applications and reporting.

Processing invoices and supplier payments.
-
Using the parish accounting system to reconcile accounts and prepare financial information.

Undertaking banking, petty cash and other financial procedures.

Processing payments relating to church maintenance and other parish expenditure.

Completing relevant finance forms and assisting with financial administration.

Preparing and submitting Gift Aid claims.

Supporting payroll administration, including staff hours and payroll documentation.

Handling payments, issuing receipts and maintaining accurate financial records.

Providing general office support and assisting with the smooth running of the parish offices.
The Person
Essential Criteria
-
At least 2 years' experience in a similar, finance administration or administrative role.

Experience of processing invoices, reconciliations, payments and/or banking procedures.

Excellent working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook.

Experience of maintaining accurate records and using office/document management systems.

Experience of updating websites and social media platforms.

Excellent organisational and time management skills, with the ability to manage competing priorities and tight deadlines.

Excellent written and verbal communication skills.

A friendly, professional and helpful manner when dealing with people in person and over the telephone.

Ability to work independently, use initiative and maintain confidentiality.

A methodical and consistent approach to work.

Ability to work effectively as part of a team.

Package & Benefits

35 hours per week.
-
Monday to Friday, 9.00am to 5.00pm.

Based across Portstewart, Portrush and Coleraine.

Work pattern across the three locations to be agreed.

Mileage paid for required business travel.

32 days annual leave per annum, inclusive of 12 customary holidays.

Varied role combining finance, administration, communications and community-facing responsibilities.
