This is an excellent opportunity for an experienced administrator or Personal Assistant who enjoys being the person who keeps an office organised, supports senior colleagues and ensures the day-to-day running of an organisation operates smoothly.
The Role
As Personal Assistant / Office Administrator, you will provide confidential administrative and organisational support to the Parish Priest, while also taking responsibility for the effective day-to-day running of the parish office.
The role is varied and will suit someone who enjoys working across administration, diary management, communications, events and office coordination.
Key responsibilities will include:

Providing confidential administrative support to the Parish Priest

Managing diaries, schedules, calendars and appointments
-
Welcoming and assisting visitors and parishioners in a friendly and professional manner

Maintaining accurate records, databases, registers and filing systems
-
Preparing certificates and supporting sacramental administration
-
Producing weekly bulletins, newsletters, announcements and other parish communications
-
Updating the parish website and social media channels
-
Creating booklets, flyers, posters and PowerPoint presentations using Microsoft Office and Canva
-
Coordinating rotas, meetings, events and parish programmes
-
Liaising with clergy, parishioners, schools, committees, volunteers and external contacts

Managing GDPR-compliant mailing lists and confidential information
-
Supporting funding and grant research and applications
-
Assisting with procurement, suppliers, tenders, office supplies and cost-saving initiatives

Supporting payroll and HR administration, including staff records, working hours and annual leave
-
Coordinating office maintenance, contractors, equipment servicing and general office requirements

Supporting the day-to-day management of other office staff, including holidays and absence

Preparing meeting documentation and taking minutes where required

Maintaining the parish computer and document management systems

Ensuring all administrative processes are completed accurately, efficiently and confidentially
The Person
Essential criteria:
-
A minimum of 2 years' experience in a similar administrative, PA or office support role

Strong working knowledge of Microsoft Word, Excel and Outlook
-
Experience using Canva
-
Experience updating websites and social media
-
Experience of office management and document management systems
-
Exceptional organisation and time management skills, with the ability to manage competing priorities and deadlines

Excellent written and verbal communication skills

Ability to work independently and use initiative, while also working effectively as part of a team

Confidence communicating with people at all levels

Strong attention to detail and a methodical and consistent approach
-
Ability to handle sensitive and confidential information appropriately

A friendly, professional and helpful approach

A clear commitment to the work and mission of a faith-based organisation
Desirable:
-
Previous experience providing PA or administrative support to a senior individual

Experience working within a faith-based, community or not-for-profit organisation

Experience supporting events, committees or community programmes

32 days annual leave per annum, inclusive of 12 customary holidays, pro rata for part-time employees
