Honeycomb is partnering with a software company based in Dundalk to recruit for a Receptionist / Administrator to look after their Front of House function. The role is full time and permanent and is 5 days on site.

Our client is a software company that provides tailored software solutions to over 2500 customers worldwide. They have been honoured in the Deloite Fast 50 several times and are continuing to scale due to their customer focused, collaborative and innovative approach.

The Role

The Receptionist & Office Administrator plays a critical role in the successful running of the Dundalk office. Our client believes this position is so important that they name it Director of First Impressions! This is a diverse role, which incorporates the traditional front of house responsibilities but also travel and event co-ordination, facilities management and finance team assistance. So this role will suit a motivated, driven individual with a lively personality!
Responsibilities

Front of House

  • Acts as the first point of contact for visitors, customers & employees
  • Manages incoming calls, directing them efficiently throughout the business
  • Maintains internal systems ensuring data is entered accurately and timely
  • Ensures all meetings are set up professionally, including refreshments
  • Manages incoming and outgoing mail and courier deliveries

Travel and event coordination

  • Arranges company-wide travel (flights/hotels/taxis) for Irish/UK/USA employees
  • Co-ordinates travel for company events/off-site meetings
  • Ensures backups are provided to finance on timely basis to comply with Revenue/HMRC requirements
  • Manages hospitality for company events; example All Hands, BBQs
  • Supports HR and Communications teams with event setup & logistics

Facilities Management

  • Supports the smooth day-to-day operation of the office through effective management of administrative tasks, supplies and facilities issues.
  • Maintains stock levels of office stationery and hospitality supplies.
  • Liaises with external suppliers on building/appliance repairs
  • Manages office projects; example painting/electricity/carpeting etc.

Finance assistance

  • Utilises their people skills to assist with customer engagement as part of our credit control function.

Criteria

  • Previous experience in a similar role
  • Ability to operate in a fast-paced office environment
  • Excellent interpersonal and communication skills
  • Positive attitude and a pro-active approach to work
  • Highly organised with the ability to multi-task and prioritise effectively
  • Microsoft Excel skills would be preferable
