Honeycomb are delighted to be working with the Belfast Trust to recruit a Band 2 receptionist to join one of their busy Belfast Health Centres. The role is Part Time temporary 25 hours per week.
The site provides multiple health related services to the community. They are seeking an efficient receptionist/administrator to ensure the smooth running of daily operations, and to provide a welcoming environment to staff and visitors of the centre.
The Role
As receptionist/administrator, you will be the first point of contact for all visitors and staff in the Wellbeing and Treatment centre. You will provide professional and welcoming customer service, while also supporting wider administration and operational needs of the centre.
This is a role suited to someone who enjoys working with people, is confident handling a busy reception environment and can use their own initiative to resolve issues and ensure the smooth running of the centre.
The role is initially offered for 8 weeks, with the potential for extension until the end of the year and possibly longer, depending on operational requirements.
Hours: 25 hours per week
Working pattern:
- Wednesday: 12:00-18:00
- Thursday: 08:00-18:00
- Friday: 08:00-18:00
Key Responsibilities:
- Provide a welcoming, professional, and efficient reception service to all visitors and staff.
- Meet, greet, and direct visitors to the appropriate location within the centre.
- Act as an information point for visitors, staff, and external professionals, maintaining up-to-date knowledge of the services and activities operating within the centre.
- Issue visitor passes and keeps appropriate records.
- Operate the reception desk as a designated collection point for receiving fax messages, small parcels, and special delivery items.
- Handle telephone enquiries, redirecting calls to the appropriate department or member of staff.
- Take bookings for accommodation including meeting and interview rooms.
- Deal sensitively and professionally with people who may have urgent or particular needs.
- Promote a positive culture and good relationships with visitors and users of the centre.
- Ensure confidentiality, respect and dignity are always maintained.
- Take appropriate steps to limit or diffuse challenging or tense situations.
- Ensure that all complaints that are brought to light are appropriately dealt with and escalated, when necessary, while keeping the Centre manager informed.
The Person:
We are looking for someone welcoming, professional, and highly organised, with the confidence to deal with a wide range of people and situations that the role requires.
Essential Criteria:
- 4 GCSEs at grades A-C, including English Language and Maths or equivalent/higher qualification or one years' experience in a clerical/ administration role.
- Experience in the use of at least one Microsoft Office product or equivalent.
- Ability to work as part of a team.
- Ability to use own initiative.
Desirable Criteria:
Experience of working in a pressurised environment.
