Honeycomb is delighted to be recruiting for a Legal Secretary on behalf of a well-established and highly regarded law firm in East Belfast, offering an excellent opportunity to join a busy legal team supporting a varied matrimonial and family law caseload.

The Job

This is an excellent opportunity for an experienced secretary or administrator to join a professional legal team in East Belfast, providing support to a solicitor within the matrimonial and family department.

The role would suit someone with strong secretarial or administrative experience who is looking to develop their career within the legal sector. Previous legal, matrimonial, or family law experience would be beneficial but is not essential, with full support provided.

Audiotyping and digital dictation experience is essential.

The Role

* Providing comprehensive secretarial and administrative support to a solicitor within the matrimonial and family department
* Audiotyping correspondence, legal documents, reports, and other documentation from digital dictation
* Opening, maintaining, and updating client files and case management systems
* Preparing documentation for meetings, appointments, and court hearings
* Liaising professionally with clients, solicitors, barristers, courts, and other relevant parties
* Handling incoming telephone calls and correspondence professionally and confidentially
* Diary management, including arranging appointments, meetings, and hearings
* Assisting with the preparation and organisation of files and case bundles
* Monitoring deadlines and ensuring documentation is prepared within required timescales
* Providing general administrative and secretarial support to the wider legal team
* Maintaining confidentiality when dealing with sensitive client and case information
* Supporting solicitors with the smooth progression of their caseloads
* Dealing with clients in a professional, empathetic, and courteous manner, particularly when handling sensitive family matters

The Person

* Previous experience in a secretarial, administrative, or office-based role is essential
* Previous audiotyping/digital dictation experience is essential
* Experience within a legal environment would be beneficial, but is not essential
* Experience within matrimonial or family law would be advantageous, but is not essential
* Strong typing skills with excellent accuracy and attention to detail
* Confident working from digital dictation and producing accurate written documentation
* Excellent written and verbal communication skills
* Strong organisational skills with the ability to manage a busy workload and competing deadlines
* Excellent attention to detail and a methodical approach to work
* Ability to handle confidential and sensitive information with professionalism and discretion
* Confident communicating with clients and external contacts
* Good IT skills, including Microsoft Office and the ability to learn new systems
* Ability to work independently while also contributing positively to a wider team
* Professional, reliable, and proactive approach
* A calm and empathetic manner when dealing with clients, particularly in sensitive circumstances
* Ability to prioritise work effectively and ensure deadlines are consistently met
