The Role:-

As the Lead Executive Assistant, you will play a pivotal role in the support team. This is a hybrid role which consists of high level EA duties alongside providing supervisory support to the support team. Your responsibilities will include:

Executive Support:-

  • Provide executive level secretarial support to the Partners, and work with them to achieve their business aims, client requirements and deadlines, delivering an exceptional client experience.
  • Proactively manager and understand the partners diaries using business knowledge to prioritise commitments.
  • Coordinate detailed, multi-centred travel arrangements and provide detailed itineraries.
  • Coordinate and assist with global visits/ visitors.
  • Diarise, manage and coordinate any events.
  • Proactively manage all communication both in and out of the partners offices and maintain responsibility for everything being managed in a timely manner.
  • Build and maintain good relationships across the business and externally, being a subject matter expert.

Supervisory Duties:-

Take ownership and responsibility for all the support teams administration matters as well as "on the ground" supervision of the team by dealing with coordination of workload and first stage people management.

  • Be first point of contact for a team of support staff for queries regarding work and personal matters.
  • Manage day to day work flow to ensure an even spread of work across the team.
  • Actively deal with first stage people management issues and queries, ensuring the team adhere to the firms procedures and guidelines.
  • Authorising absences, working from home, overtime and monitoring attendance, including time keeping and attendance.
  • Act as a role model for the team, providing mentoring, guidance, and direction.
  • Managing client interactions and maintaining excellent client relationships.
  • Participate in the recruitment process and subsequent probation reviews.

About you:

To excel in this role, you should possess the following qualifications and skills:

  • At least 5 years of experience as a Secretary/ PA working in a professional services environment.
  • Previous experience of supervision or leadership of a team of support staff.
  • Intermediate to Advanced skill level with Microsoft Office Suite.
  • Strong organisational and communication skills.
  • Exceptional attention to detail and the ability to work independently.
