The Role

Our client is seeking an Office Manager & Personal Assistant to oversee the daily operations of their Northern Ireland office while providing high-level executive support to the Deputy Director.

This is much more than a traditional administration role. You'll be the person who keeps everything running smoothly, creating a welcoming and organised workplace, supporting senior leaders, and ensuring colleagues have everything they need to succeed. No two days will be the same, making this an ideal opportunity for someone who enjoys variety, takes ownership, and thrives in a fast-paced environment.

Key Responsibilities

  • Lead the day-to-day running of the office, ensuring a professional, welcoming, and efficient working environment.

  • Create and promote a positive office culture where colleagues feel supported and engaged.

  • Manage office facilities, maintenance, suppliers, stationery, equipment, and general office resources.

  • Oversee Health & Safety compliance, including risk assessments, office checks, and maintaining safety records.

  • Manage office budgets, purchase orders, and day-to-day expenditure.

  • Provide high-level executive support to the Deputy Director.

  • Manage complex diaries, meetings, travel arrangements, and confidential correspondence.

  • Organise meetings, prepare agendas, produce accurate minutes, and monitor follow-up actions.

  • Support senior leadership with reports, presentations, and administrative projects.

  • Assist with the on-boarding and induction of new employees.

  • Act as the first point of contact for visitors, telephone enquiries, and general office communications.

  • Deliver a professional, friendly, and responsive service across the organisation.

  • Identify opportunities to improve office systems and administrative processes.

  • Support wider organisational projects and initiatives.

  • Contribute ideas that enhance efficiency and improve the workplace experience.

The Person

Essential Criteria

  • Experience in an Office Manager, Executive Assistant, Personal Assistant, Senior Administrator, or similar office coordination role.

  • Previous experience supporting senior managers or executive-level staff.

  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.

  • Strong diary management, meeting coordination, and minute-taking experience.

  • Excellent communication and interpersonal skills.

  • High level of attention to detail with the ability to handle confidential information professionally.

  • Strong IT skills, including Microsoft Word, Excel, Outlook, and PowerPoint.

  • Ability to work independently while collaborating effectively with colleagues across the organisation.

  • A proactive, positive, and solutions-focused approach.
