The Charity:

This charity focuses on making a difference to the welfare of children and young people in Northern Ireland! They achieve this by informing and influencing those who make policies, plans and deliver services, representing the voices of the young people and sharing their experiences and views.

Your Role:

This is a fundamental role within the charity, providing organisational support within the office and adding value to the wider team. Some main responsibilities include:

  • Plan, organise and coordinate training services to external staff & volunteers
  • Working closely with the Finance & Office Manager liaising with Funders, the Learning & Development Officer & Associate Trainers
  • Maintain and build strategic stakeholder relationships, offering tailored training solutions
  • Respond to all training requests & training delivery requirements in a timely manner
  • Liaise with the Learning & Development Officer in the promotion & publication of the training programme
  • Assist on setting up the yearly training calendar, advertising training dates through website, email databases and social media
  • Supporting the Finance & Office Manager in the quarterly monitoring process for Funders
  • Produce training materials, course programmes & handouts for training programmes
  • Administration & process of course applications, ensuring information on training is accurate & updated
  • Prepare training rooms as required, providing catering if needed
  • Carrying out stakeholder surveys for training need analysis
  • Assist in writing applications/bids relating to training contracts & funding opportunities
  • Point of contact for visitors, taking incoming calls, preparing meeting rooms
  • Provide ad hoc administration support across the team when needed

Person Specification

  • Minimum 3 years in an administrative role within an office environment
  • GCSE Maths & English
  • Proficient in Microsoft Office suite, excellent IT skills, experience using office systems
  • Demonstrate strong organisational skills
  • Excellent communication, written & verbal
  • Ability to use own initiative and prioritise work
  • Ability to work under deadlines and time pressure
  • Maintaining GDPR and confidentiality
