Honeycomb Jobs is delighted to be working with our public sector client, to recruit a Policy Administration Officer at AO level on a temporary contract until March 2025 based in Belfast.

The Client - Our public sector client provides free, independent support and advice for individuals and businesses in Northern Ireland in addition to being empowered to investigate complaints over a range of sectors.

The Role: This credible position reports into the line manager within the Policy Team. Duties will include but will not be limited to:

  • To proactively assist with administrative support including:
    • Note taking at team meetings;
    • Raising purchase orders;
    • Arranging travel and accommodation and preparing detailed itineraries as required;
    • Assisting with the management of the internal online filing system;
    • Arranging internal and external meetings including organising refreshments and booking meeting facilities; and
    • Assisting staff and external stakeholders with ad hoc queries.
  • Assist policy staff in researching information on issues to support project development and delivery.
  • Prepare and amend documents including PowerPoint presentations, databases, weekly/monthly reports, and spreadsheets as required.
  • Support policy staff in media and industry monitoring activity, and to assist with awareness campaign activity.
  • Collate, maintain, update and monitor information for inclusion in Board and Leadership Team papers.
  • Undertake the proofreading of policy papers, research reports, consultations, publications, and other relevant documents.
  • Assist with the collection of data for publication in their online tools.
  • Proactively liaise with the Corporate Services directorate and provide timely ad/hoc cover for office reception duties when required.
  • Occasional attendance for meetings at locations around Northern Ireland and assisting with outreach activity across Northern Ireland.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • Demonstrable organisational and administrative skills including arranging meetings, taking minutes, creating, collating, and updating records and databases, proofreading, and collating and distributing information updates.
  • Excellent oral and written communication skills with strong attention to detail.
  • The ability to work well across teams.
  • Proactive with the ability to adapt to change.
  • Excellent IT skills and experience across Microsoft Office.

Desirable:

  • Evidence of working in a research or policy environment.
