Honeycomb Jobs is delighted to be working with a Charity Sector client, to recruit an immediately available temporary Receptionist/Administrator based in Belfast.

The Client - This Charity Sector organisation works with people of all ages in communities throughout Northern Ireland through our diverse social care projects, cross-community programme and two congregations.


The Role - To provide a customer facing reception and call handling service at Head Office and provide day to day administrative assistance support to a range of departments as required.

Duties will include but will not be limited to:

  • Meeting and greeting clients and visitors at reception in a friendly and courteous manner and directing them as appropriate and maintaining the highest standards of presentation in the reception area at all times.
  • Handling telephone calls, dealing with enquiries and relaying accurate messages as required and responding appropriately to any questions and queries.
  • Managing the email mailbox, including checking voicemails and forwarding on to appropriate person.
  • Managing the incoming and outgoing post, ensuring it is dealt with in a timely manner.
  • Maintenance of the franking machine.
  • Setting up the online video conference meeting as and when required.
  • Creating staff ID badges and programming carpark fobs as and when needed.
  • Supporting the reconciliation of facilities credit card purchases.
  • Setting up of meeting rooms and hot desks before and after use.
  • Managing the room booking and car park booking dairies.
  • Carrying out weekly basic health and safety checks.
  • Proficiently undertake a range of administration duties including the preparation of correspondence (letters, e-mails, circulars) formatting of reports and minute taking.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • Have a minimum of 1 years' experience of working in a reception/administrative role.
  • Strong communication and organisational skills and ability to successfully manage and prioritise own workload, with an ability to work under pressure and to tight deadlines.
  • Proactive approach and proven experience of contributing positively as part of a team and ability to work independently when required.
  • A high level of computer literacy, including proven experience of using Outlook, Word and Excel.
  • Work daily on site - no remote working available for this role.
