Honeycomb Jobs is delighted to be working with our public sector client, to recruit a temporary Records Manager at Staff Officer level based in Belfast.

The Client - Our quasi-public sector client is an independent body providing an impartial and free examination of complaints about a range of public services.

The Role - To carry out a range of activities and projects to help ensure the organisation meets its information governance objectives.

Duties will include but will not be limited to:

  • Oversee the destruction of electronic legacy records.
  • Review the organisation's shared internal network and make recommendations for improvements including deletion of records and network drives.
  • To review and update the organisation's Information Asset Register.
  • Work with the DPO to update the Register of Processing Activities.
  • To work with the DPO to make arrangements for the organisation's Retention and Disposal Schedule approval by PRONI and laying before the Northern Ireland Assembly
  • Liaise with business units on a central register of all physical files held on-site.
  • Review records management procedures and ensure staff are aware of their obligations in this area.
  • Liaise with business units to create practical procedures for the creation, retention, and destruction of records across the Office.
  • Provide advice and direction to the organisation's SMT and Information Governance Group, including the Senior Information Risk Owner and Information Asset Owners.
  • To assist with the response to information requests if required.
  • Any other duties consistent with the nature and type of this role.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • Understanding the information governance obligations arising from the Data Protection Act 2018, the Environmental Information Regulations 2004, and the Freedom of Information Act 2000.
  • Responsibility for the practical implementation of information governance activities in a working environment.
  • Understanding of information technologies and data security.
  • Experience of promoting a good records management and data protection culture within an organisation.
  • Experience of working effectively as part of a team.
  • Ability to communicate effectively with a broad range of people at different levels both inside and outside the organisation.

Desirable:

  • Practitioner level qualification in GDPR.
  • Practitioner level qualification in Freedom of Information.
  • Proven ability to work effectively within a pressurised environment, where priorities and deadlines are subject to change.
